Placing your first order

An order in venfree is done in three steps: enter article numbers, check prices, order. venfree submits the order directly via IDS-Connect to your wholesaler.

Prerequisites

Before you can order, two things must be set up: an active wholesaler account (Dashboard → Wholesaler) and at least one delivery address (Dashboard → Orders → Addresses).

If one is missing, the Orders page shows a notice with a direct link to the missing setup.

Entering article numbers

Click "New order". Select wholesaler and delivery address from the stored data.

Enter the article numbers of your devices. One article number and the desired quantity per row. Use "Add item" to add more rows. You can optionally add a note (e.g. project reference, contact person).

Article numbers can be found in the planner's bill of materials, on manufacturer websites, or on previous invoices from the wholesaler.

Checking prices and ordering

After clicking "Prepare order", venfree automatically retrieves prices from the wholesaler. You see the order detail page with your items, unit prices and total amount.

Check the prices. If everything is correct, click "Order now". venfree submits the order via IDS-Connect to the wholesaler and shows you the returned order number.

Tracking order status

All orders can be found under Dashboard → Orders. Each order has a status: Draft, Priced, Submitted, Confirmed (by wholesaler), In transit, Delivered.

As soon as the wholesaler responds (confirmation, shipping notification), venfree automatically updates the status. You also receive a notification via Telegram if you have set up the bot.

Tips

  • Drafts can be deleted at any time; confirmed orders only by contacting the wholesaler
  • If prices differ between display and actual invoice, the wholesaler invoice applies
  • Notes are transmitted in the IDS-Connect order record and appear at the wholesaler
